Project Support Specialist - Reception
The Project Support Specialist is a highly motivated, customer service-oriented professional that meets performance objectives and provides accurate, timely, and responsive service to visitors and callers. With excellent attention to detail, the Front Desk Associate develops knowledge to quickly assess request requirements and actionable processes. The Project Support Specialist greets every visitor and caller in a professional manner, is flexible in terms of dynamic team roles, and lends general clerical support; this support includes creating Excel, PowerPoint, and MS Word documents with proficiency, in addition to supporting copier, printer, and scanning requests.
Opening and closing procedures
Greeting visitors and routine clerical tasks (assisting with printers, copiers, scanners, etc)
Acts as telephone operator for incoming calls and emails, directing them to the appropriate parties and taking messages when necessary
Receives services requests and ensures requests are completed in a timely and satisfactory manner (request tracking)
Issue and maintain facility keys
Type and print-out signage inserts for offices, conference rooms, and/or special meetings/events
Schedule conference rooms
Update inventory and invoice logs
Handling and securing sensitive material and packages.
Skilled in Microsoft Office Suite, including Excel and Outlook; SharePoint experience or ability to learn new software and platforms
Experience in reception or office support
Multitasking, reliability, personable and friendly, responsive, able to remember individuals names and roles accurately
Team-player; able to take direction, work independently, and prioritize tasks well
Must be physically fit and able to lift 40 pounds.
Candidate must be able pass a federal background investigation.
